The Easy Productivity Hack that Helps Me Get in Flow

^^ This is one of the aspects of entrepreneurship I was least prepared for when I started out:
All the tasks beyond client work that need to get done for your business to run.
Luckily, I'm now in a season where I don't have to do everything myself.
If you follow me on Instagram, you might have heard me talk about how this year I'm really leaning into outsourcing and collaborations.
Still, there's a lot of business development & backend work I do need to be involved in—at least for now.
My #1 favourite productivity hack?
(I feel like such a Bro saying that, but this really is a great technique...)
Theme Days!
I was first introduced to Theme Days by Joanna Wiebe of Copy Hackers back in 2018.
Basically, practicing Theme Days means that you pick one theme per day and only do tasks related to that theme. This allows you to avoid time lost during task switching:
Switching tasks can cost you up to 40% of your productive time according to this article from the American Psychological Association.
My Theme Days typically break down as follows:
Monday: Rainmaking AKA tasks related to building relationships, signing new clients, opening new sales conversations, visibility, outreach, etc.
Tuesday: Content Batching, incl. writing my weekly email, braindumping IG posts or batching Reels, turning past emails into blog posts, filming videos, etc.
Wednesday & Thursday: Client Work—Immersive Copy Research! Writing! Revising! These are my Deep Work days and I try not to have any calls or appointments booked so that I don't get pulled out of flow.
Friday is my Wild Card: Either I use this day to catch up on any tasks that didn't get finished during the week, consume a course, get a head start on the next week's work, or take the afternoon off.
A few notes on how this works in real life:
My energy dramatically decreases throughout the week, and by Thursdays, I often find I have very little bandwidth for calls & conversations. So it works well that I now know I will be doing Deep Work on those days, and I can plan to be out of the house, in a cafe or library, where I can borrow other people's energy to get in flow.
Like I said, I started using Theme Days in 2018, but with the births of my babies, they went out the window as I worked in whatever slivers of time I could.
Now that both kids are in daycare, I find it more important than ever to use the time I have well and feel a sense of satisfaction before I go pick them up (👋 Human Design Generator here!)
Obviously, I sometimes have to break these "rules" to attend, e.g. the calls for my mastermind or to meet with clients. When that happens, I do still try to protect chunks of time in the morning/afternoon to focus on the day's usual theme.
I used to do Client Work on Mondays & Wednesdays, but that meant that the biz development tasks of my Rainmaking Days fell on the day I have the least energy (Thursday), so I would put them off or barely get anything done.
Now I front load that work so that I can tick off those tasks on my highest energy day (Monday) and then get to deeper and deeper work as the week goes on.
I never ever ever work on the weekend. I used to enjoy getting a few hours in on Saturday to help me feel ahead on Monday, but now that life outside of work is so exhausting, I've noticed I need at least 48 hours of true "rest" (lol bc I am caring for 2 kids under 5 in that time, but anyway...) to feel ready to get back into things on Monday.
